Name, Gender and/or Pronoun Change Form

This form enables student to change their name, gender, college affiliation, and/or pronouns at Hobart and William Smith Colleges. Other than the identification section, feel free to only fill out the section(s) relevant to your desired change. You may read Hobart and William Smith Colleges' Chosen Name, Gender, and Pronoun Policy.

This form is not for legal name changes. Legal name change requests are processed by the Registrar's Office. You may access the Legal Name Change Form.

HWS offers three levels of name changes. How and where the "HWS Name" and "Nickname" appear in our systems are described below.

Legal name: Unless you amend your HWS Name or Nickname, your legal name is the campus wide default. If you have changed your legal name, please amend it through the Registrar's office using the Legal Name Change Form.

HWS Name: If you change your HWS Name, this name will appear on your Canvas, class rosters, email, Peoplesoft profile, the Parent Portal (if you have given your parents and/or guardian's access), in your residence hall paperwork, and transcripts. It will also appear on any campus communication to your guardians. It will not appear on your W-2 or other financial documents, as those require a legal name change.

Nickname: This is a more private name change option. You can change your Nickname in Peoplesoft. So, there is no need to submit a form in order to do so. If you add a Nickname in Peoplesoft, it will appear on Canvas, class rosters, and in your residence hall paperwork. It will not appear in the Parent Portal or be used in campus communications to your guardians.

Gender

You may list a gender other than your legal sex below. Your gender identity will be reflected in all Colleges’ systems. If you update your gender in HWS systems, you may also consider changing your college affiliation, though you are not required to do so.

Pronouns

Your pronouns are represented on class rosters, the student profile page in Peoplesoft, and the parent portal. If you have given you parents or guardians access to the parent portal, they will be able to view pronoun changes there. Any office on campus with access to Peoplesoft may update your pronouns as well.
